Position Title: Coordinator for Office of the Vicar for Clergy, Office of the Vicar General and Auxiliary Bishops Emeritus (Office of the Auxiliary Bishop(s), when actively assigned here)
FLSA Status: Non-Exempt (hourly), Full-time
Reports To: Office Manager


Position Responsibilities:
Answer and resolve up to four multiple incoming phone calls at a time as needed.
Prepare Letters of Good Standing as needed.
Assist with the intake of new and long term visiting priests. This includes ensuring priests have completed VIRTUS compliance training, fingerprinting, and have provided an approved Letter of Good Standing.
Create and distribute Celebret and Medical cards through Cardpresso.
Maintain Vicar for Clergy Webpage.
Maintain Clergy Database using ACCESS (update, debug, correct records). Work with Access programmer to correct input and reporting errors.
Prepare forms and finalize reports through Formsite and Survey Monkey.
Coordinate annual Elections.
Coordinate invoices and payments.
Coordinate billing with Assisted Living facilities.
Analyze supporting documentation, calculate, and initiate reimbursements for Rx medications.
Coordinate immigration petitions with parishes, hospitals, Vicar for Clergy, lawyer, finance, client and USCIS (Homeland Security).
Submit Sponsor Withdrawal Notifications to USCIS.
Assist the Vicar for Clergy with responses to on-site visits by USCIS agents.
Coordinate immigration information with Payroll.
Wells Fargo Visa reconciliation.

QUALIFICATIONS:
Proficient in Microsoft 365: WORD, Excel, PowerPoint, Teams, etc.; Google Workspace: Drive, Docs, Sheets, Slides etc.; Abode Professional; SurveyMonkey; Formsite; Badgy, Cardpresso.
Familiar with ACCESS, VIRTUS, INTACCT, Flocknote and eCatholic website.
Excellent verbal and written communication skills.
Meticulous attention to detail.
Strong math and accounting skills.
Immigration experience is preferred but not required.
Experience with Medicare medical insurance, is preferred but not required.
A team player, ability to work well with others.
Ability to multi-task in a high pace environment, set priorities and organize work effectively.
Ability to work independently as well as in a team environment.
Ability to maintain confidentiality.
Ability to consistently meet deadlines.

*A practicing Catholic that is familiar with the church doctrine and traditions is preferred.
* A Bachelor s degree preferred

Position pay range: $30.00-31.76 per hour
